Setting the Stage

VOUS Church

Every Sunday begins before the first song.

For our mobile locations, it begins with open truck doors, rolling road cases, and Servant Leaders turning familiar spaces into a place for people to encounter Jesus. Then, when services end, they pack it all away to do it again next week.

We remind our teams often that we are setting the stage for God to move. There are people on the other side of every chair we place and every sign we hang. That conviction gives purpose to the practical work.

We’re sharing a few things we’re learning about doing that work well.

‍

Clarity Before Call Time

During the week, we confirm our team, assign responsibilities, and communicate what each area needs to accomplish. By Friday, people should know when to arrive, who they’re serving with, and what they’re responsible for.

Write down the details. When a process lives only in someone’s memory, the whole team feels their absence. Clear instructions help us develop people and give them ownership.

‍

Prepare With Intention

Our morning begins with a huddle. We share direction, pray, and remember why we’re there.

The person unfolding chairs is helping prepare a seat for someone who may hear the gospel for the first time. The person placing signs is helping a family feel comfortable in an unfamiliar space. Connecting those responsibilities to their purpose matters.

Prepare for new Servant Leaders, too. Give them a meaningful assignment, someone to learn alongside, and an opportunity to contribute from their first morning.

Then keep building those relationships Monday through Saturday. People return to teams where they feel known, cared for, and connected.

‍

Room To Lead

Every location has different needs. Work backward from when each space must be ready, then determine what comes out first, what takes longest, and what needs testing.

Assign leaders to individual areas so the person overseeing load-in can keep an eye on the whole picture. Experienced runners can move between areas to provide extra support. That flexibility matters when plans change.

A plan helps everyone begin. Clear leadership helps everyone keep moving.

‍

The Details Matter

A guest searching for the restroom has less room to notice someone ready to welcome them. A team searching for supplies has less attention available for the people they’re serving.

For large events, we use written quality-control checklists and a final walk-through to confirm that each area is ready. Signage, supplies, cleanliness, and equipment all deserve attention. For events in new venues, that preparation starts with asking specific questions. Verify power, access, measurements, and what the venue provides. For example, at Man Alive, a walk-through revealed that outlets we expected to use were unavailable. Asking early gave us time to adjust.

‍

Next Sunday Begins At Load Out

How we finish affects how another team begins.

Returning equipment to the correct place protects our resources and prepares the next team for a better morning. Document where things belong, communicate anything missing or damaged, and confirm borrowed equipment returns to its location.

Before everyone leaves, gather and celebrate what God did. Remind the team that their faithfulness helped prepare the way.

Week after week, we have the privilege of preparing the house for people we haven’t met yet. We want to do it with care, with joy, and with expectation for what God will do.
