Team Conference is the opportunity to gather all the Servant Leaders of our house for a day of celebration, leadership development, and community. This year's theme was LINKED: You Were Never Meant to Build Alone.
Here's the full plan behind it: how we developed the language, when everything went out, and who it went to.
Work Backwards From the Date
We mapped everything backwards from Team Conference on September 19th and folded in our Team Night on July 29 into the same timeline. The goal was for these events to complement one another rather than feel that communications were competing for attention and awareness.

Segment Your Audiences
One message, but not one list. Each audience got a different cadence and a different reason to come.

Every piece of communication was designed to create an intentional point of contact and a clear call-to-action to register for Team Conf.
Activate the Spaces You Already Have
- Team Rallies: A mention every week for six weeks, with talking points written into the huddle notes so every team leader said the same thing.
- Main service: A mention every week for the final four weeks.
- Growth Track: An announcement at every step in August, touch cards handed out, and a Team Expo at the final step.
- Installations: Up at every location 4 weeks out, on the same day registration opened.
- Programming: A recap of last year's Team Conference, plus live Servant Leader testimonies during the generosity moment.
Build a 4-Week Social Arc
Social ran as a four-week "prologue" to the event. Each week had one job.
- Announce it: Announcement graphic and a story post with the registration link
- Put faces on it: Meet Our Team video, a Servant Leader carousel, and a "Why I Serve" reel
- Show the culture: Serving highlights and a generosity highlight, each with a caption pointing to Team Conference
- Show the experience: Promo video, a "what to expect" carousel, a film promo, B-roll, and a merch highlight
Prompts you can reuse:
- "Who invited you to serve?"
- Tell testimonies by what changed in someone's life, not by what they do on their team.
- Repurpose last year's recap video.
- Reshare photos from your people as they come in.
Pick one visual thread. Ours was a red string, used across graphics, video, and the room, to show people connected to people. Choose one simple, physical object for your theme and use it everywhere.
Remove Every Barrier
- Two ticket types: "On a team" and "Not on a team." People who aren't serving yet have a clear first step.
- An FAQ that answers the real questions: Who can attend, whether you can bring a spouse, whether attendance is expected, and whether childcare is provided.
Take It to Your Church
- Start the plan 10 weeks out, even before the theme is final.
- Write one scripture, one theme, one thesis, and one sticky line, then put them on one page.
- Map your timeline backwards, with the public launch 4 weeks out.
- List every audience and give each one its own cadence.
- Write talking points into your team huddle notes so every leader says the same thing.
- Plan social in four weeks: announce, people, culture, experience.
- Choose one visual thread and use it everywhere.
- Launch registration and installations on the same day.
- Answer the FAQ before anyone asks.
